Tomasz Michalik: In recent years, IT outsourcing has evolved significantly. What major shifts are we seeing in 2025?
Piotr Kaczor: In 2025, IT outsourcing is no longer just about cutting costs. It’s becoming a pillar of strategic business partnerships. More companies are entering long-term collaborations with vendors who don’t just provide services – they co-create business strategies. What’s essential now is understanding the client’s business and helping them gain a competitive edge. These partnerships are increasingly built on shared goals, knowledge exchange, and tighter team integration across organizations.
Today, according to the IT Outsourcing Trends 2025 report, Poland is among the leading countries where IT outsourcing is growing rapidly. The market is expected to grow by 34.73% by 2029. Between January and May last year alone, the number of IT companies in Poland increased by 6% compared to 2023 and nearly 25% compared to 2022.
T: Which technologies are driving this growth?
P: Three technologies are clearly at the forefront: artificial intelligence, blockchain, and the Internet of Things (IoT). AI is already used to automate repetitive processes, personalize customer support, and perform predictive analytics. Blockchain ensures greater transparency and data security – particularly valuable in highly regulated sectors. It also helps reduce contract errors and improves visibility through smart contract automation. And IoT enables intelligent resource management, real-time production monitoring, and supply chain optimization.

T: What about nearshoring and reshoring? Is location becoming more important again?
P: Absolutely. Both nearshoring and reshoring have gained momentum due to geopolitical instability and supply chain disruptions. Companies increasingly prefer partners from neighboring countries – it simplifies communication, improves time zone alignment, and enhances cultural fit. Nearshoring also gives organizations better quality control and quicker response times. Reshoring, on the other hand, strengthens operational resilience and helps meet regulatory requirements.
T: What role does cybersecurity play in IT outsourcing today?
P: Cybersecurity is now a top selection criterion when choosing an IT outsourcing partner. Clients expect providers to go beyond basic data protection and offer advanced capabilities – like Security Operations Centers (SOCs) for continuous monitoring and rapid incident response, or Zero Trust systems to minimize unauthorized access. Solutions for detecting and neutralizing ransomware or phishing attacks are also expected. Plus, compliance with regulations like GDPR and NIS2 is increasingly important. In fact, security outsourcing is becoming a distinct sector where expertise and constant adaptation are key.
T: There’s a growing trend of moving away from staff outsourcing toward process outsourcing. What’s driving that shift?
P: Process outsourcing means delegating specific business functions—like accounting, marketing, or legal services—to an external partner. Unlike staff leasing, this model ensures compliance with tightened labor regulations. It allows companies to better manage risk, optimize costs, and scale operations. Most importantly, it lets organizations focus on their core activities.
T: How are employee expectations shifting in the context of outsourced work?
P: Employees increasingly value flexibility – both in time and location. Remote work continues to dominate in the IT space. In many cases, this translates into higher efficiency, lower turnover, and stronger team engagement. It also helps reduce overhead costs for office infrastructure.
T: Are clients now more focused on ESG and CSR when selecting outsourcing providers?
P: Definitely. Sustainability and responsible business practices are becoming major factors when choosing a vendor. IT outsourcing companies are expected to deliver on business goals while also being mindful of their environmental and social impact. That’s why strong ESG and CSR strategies – and the ability to follow through on them – are crucial. These efforts boost brand reputation and improve employee loyalty.

T: How are automation and AI reshaping the IT outsourcing landscape?
P: AI has become one of the pillars of effective outsourcing. The numbers speak for themselves – developers supported by generative tools can write code up to 55% faster, while both their productivity and code quality improve. AI also helps eliminate bugs, automate repetitive tasks, and enables teams to work faster with less effort. As a result, IT outsourcing is becoming more efficient, scalable, and focused on delivering real business value.
T: What will be the key competitive advantages in IT outsourcing in 2025?
P: The companies that will gain a competitive edge are those that can combine technological expertise with the practical application of AI. Having experienced developers is no longer enough – clients now expect teams that know how to accelerate development, reduce bugs, and optimize costs using artificial intelligence. More and more often, they also ask how AI can support their own business – which is why the role of technological consulting is growing. Soft skills matter too: the ability to educate the client, ensure transparency, remain flexible, and act quickly. The companies that are proactive, offer innovation, and can build an end-to-end AI-powered process – from development to testing and deployment – will lead the market. AI is no longer an add-on; it’s the new standard that must translate into real value for the client.
